Privacy Policy Version 1.0 Effective 2026-10-30T00:00:00+00:00 # EzePanel Privacy Policy **Effective date: October 30, 2026 · Version 1.0** ## 1. Who we are and what this policy covers EzeAD Media Group Inc. provides EzePanel, its public website at https://ezepanel.com, the customer portal at https://app.ezepanel.com, software licensing, subscriptions, updates and support. This policy explains how we handle personal information in those activities. It distinguishes information received by our services from content on hosting servers operated by our customers. ## 2. Information associated with your account We receive information you provide when creating and managing an account, including your name, email, organization details, account preferences and communications. Authentication and security records can include IP addresses, sign-in times, session identifiers and browser information. Passwords are stored using password hashes; privileged application access is restricted by authorization controls. ## 3. Billing and payment information We keep order, subscription, invoice, payment-status and payment-provider reference records needed to administer purchases, renewals, cancellations, billing enquiries and refunds. Stripe processes payments when you select the Stripe checkout offered by EzePanel. If PayPal is offered and selected, PayPal processes that payment or subscription under its own terms and privacy information. Payment details are entered through the applicable provider's checkout. EzePanel's checkout integration uses provider references and payment confirmations; it does not require customers to email full payment-card numbers or security codes. ## 4. Licensing, updates and enrolled-server information Software activation and ongoing licensing can send installation identifiers, license identifiers, public server IP, hostname, operating-system and installed-panel version, hosting-account usage and validation status to our services. Enrolled update and reporting functions can also send update-agent identity, selected release channel, installed and requested versions, transaction progress, compatibility and health results, timestamps, errors and relevant operational measurements or inventory associated with the enabled function. These records support licensing, software distribution, security, troubleshooting and reliability. Ordinary licensing information is distinct from the contents of hosted websites, databases and mailboxes. Customer-controlled servers run the installed software and perform their local hosting operations. Administrators control the hosting accounts and workloads on those servers. Data submitted through optional reporting, diagnostic or support functions depends on what is enabled and provided. Do not include passwords, private signing keys, full card details or unrelated customer information in support evidence. ## 5. Customer-hosted content and responsibilities Customers retain ownership of their website files, databases, email, configurations and other hosted content. They determine their own lawful purposes and responsibilities for that content and for their downstream customers. We receive hosted content if it is submitted to an EzePanel-operated function or shared with support, rather than solely because the content exists on a managed server. Any separately authorized assistance or processing is limited to the applicable purpose and permissions. This policy does not replace a data-processing agreement where one is required. ## 6. Why information is used We use information to operate accounts and requested features; authenticate users; process and reconcile purchases; issue and validate licenses and server bindings; make approved updates available; provide support; detect fraud and misuse; diagnose service issues; maintain contractual, security and financial records; and comply with applicable legal obligations. Optional marketing or optional analytics, if offered, require the relevant disclosures and choices. Agreeing to essential service terms does not enroll a customer in optional marketing. ## 7. Service providers and disclosures Providers supporting hosting and networking, security, payment processing, email delivery and support may receive information necessary for their services. Payment providers also act under their own privacy policies. We may disclose information to authorized representatives acting for the customer, to comply with applicable law or valid legal process, or where reasonably necessary to investigate fraud, protect rights or address security threats. We do not represent that information is never shared. Contact us for information about a particular provider or processing activity relevant to your account. ## 8. International processing We are a Canadian company serving customers in multiple jurisdictions. Providers and authorized personnel may process or access information in jurisdictions other than a customer's own province or country, where different laws may apply. The location of a customer's hosting server is separate from the location of EzePanel-operated account, payment and support services. We do not promise that all information remains in a single province or country. Requests about a particular processing location or transfer can be submitted through the contact channels below. ## 9. Cookies and browser storage The customer portal uses session and security state for sign-in, anti-forgery protection and requested preferences. Browser storage and security tokens may also support public-site navigation and contact submissions. Payment-provider pages can use their own cookies and storage. Browser controls can restrict or remove stored information; doing so can sign you out or interrupt a form or payment flow. Optional tracking must be identified and appropriate choices provided before it is used where required by applicable law. Necessary authentication is not treated as consent to optional advertising or marketing. ## 10. Retention Retention depends on the category of information and the purpose for which it is needed. Account and license records support the account and licensed installation; transaction and invoice records support financial administration and applicable recordkeeping; security information supports protection and investigation; support records support the request and related issues; and versioned agreement records provide evidence of the terms presented and accepted. Records may remain after account closure where needed for a continuing legal obligation, payment reconciliation, dispute, fraud investigation or other legitimate purpose. We assess requests to delete or de-identify information against those purposes and applicable legal obligations. Restricting access to retained evidence is distinct from deleting it. Copies in backups may remain until the applicable backup is replaced or expires. We do not promise immediate erasure of every record when an account is closed. You may contact us about the retention criteria applicable to your information. ## 11. Safeguards and incidents We use administrative and technical safeguards appropriate to the information and services, including access restrictions, authentication, authorization and security monitoring. No software or internet service can guarantee absolute security. Customers are responsible for securing their own servers and accounts. We assess reported personal-information incidents and provide notices to affected individuals or authorities where required by applicable law. ## 12. Access, correction, choices and complaints Subject to applicable law and relevant exceptions, individuals may request access to or correction of personal information, ask about its use or disclosure, raise a privacy concern, or request withdrawal of consent or deletion where applicable. We may verify identity and authority before providing or changing information. Some information is necessary to provide a requested service or meet a legal obligation; withdrawing permission for that processing may affect the service. Optional communications are separate from essential account, security and billing communications. We consider complaints and requests under the law applicable to the circumstances; this policy does not remove non-waivable rights or access to a competent privacy authority. ## 13. Who the service is intended for; policy changes EzePanel is commercial server-management software intended for persons authorized and legally capable of administering an account or entering the relevant commercial agreement. It is not directed to children. Contact us if you believe information has been provided without appropriate authority. We may revise this policy, display its version and effective date, preserve prior published versions and provide notice or request renewed acknowledgment where required. We do not claim that existing customers accepted a new version without an actual recorded action. ## 14. Contact EzeAD Media Group Inc.
